FAQ

Q.If the audience does not have web access, but I want to send newsletter with pictures, what should I do?
A.

You may choose to imbed the pictures in the newsletter by selecting the option 'Embed Image in Email'. Then the system will detect the pictures (if any) in the newsletter, and replace the image links with images imbedded in the email. Thus, the newsletter recipient will not need any web access to view the images.

However, this will inevitably increase the size of the newsletter as a copy of the images will be sent in each newsletter. Consequently, longer time and more system resources (e.g. bandwidth) will be required, and the different can be substantial.

Q.What is 'Embed images in email'? Why?
A.

You may show an image in your newsletter by specifying a image tag in the newsletter. When the recipient opens the newsletter, the email software will be downloaded the image from the specified location and display in the email panel. However, if the recipient is not connected to internet, the image will not be displayed.

Alternatively, you may embed the image in the email by selecting this option in your newsletter. In this case, i-Newsletter.NET will download the image (if any), and send out the image together with the newsletter. The advantage is that the recipient can view the image properly even he/she is not connected to internet, and he/she need not download the image again when he/she read the email again later. The drawback will be the email size will be much larger since a copy of the image(s) will be sent in each newsletter.

Please note that:

  • Sometimes if the web page has lots of scripting (e.g. javascript), the output may not be corrected. Thus, please preview and examine the result by sending a test email to yourself before releasing the newsletter.
  • Some web based email clients do not support displaying embedded image in browser.

Q.Anything I should take note when compiling a newsletter?
A.
  • Try not to use scripting (e.g. javascript) in HTML newsletter.  Nearly all web based email systems (e.g. gmail, hotmail, Yahoo) will remove the scripts when displaying an email in HTML format.
  • Try not to use tag in HTML newsletter. Nearly all web based email systems will remove your and tags because this purpose of these tags (e.g. background picture/color in tag) will interfere with their web page formatting.
  • If 'Embed image' is selected, minimize the file size of the images. This will reduce the duration and bandwidth in sending the newsletter.
  • Before releasing the newsletter, always preview the newsletter by sending a test email to yourself using different email format options (text, HTML, both) and different email clients (e.g. Outlook, web based email systems). Sometimes some touch-ups may be required.

Q.Anything I should take note when sending newsletter?
A.

Most countries introduced legislation on spamming, and it would be better for you to seek the advices from local authorities or legal advisor if you have doubts.

An example of such requirement is the CAN-SPAM Act of US.

Q.What is hard bounce and what is soft bounce?
A.

Hard bounce means that an email is bounce back to sender due to permanent failure encountered during the delivery, for example, the recipient mailbox does not exist.

Soft bounce means that an email is bounce back to sender due to probably 'non permanent' error, for example, the recipient mailbox is full.

Q.What is 'Confirmed Opt-In'?
A.

In email marketing, usually subscriber can enter a mailing list by filling in a form in the web site. However, there are chances that the entered email address contains error, false, or even an malicious or unintentional request without the consent of the 'real' recipient's.

In i-Newsletter.NET, you can send a confirmation email to new subscriber (via web form filling) and activate the subscription after a personalized link is clicked. This helps to eliminate unreliable opt-in requests.

Confirmed Opt-In is sometimes referred as Double Opt-In or Verified Opt-In.

Q.Regarding confirmed opt-in, would response like auto reply, out of office or bounce back activate the subscription?
A.

No, email response from the recipient will NOT activate the subscription. The subscription will be activated only when the recipient clicks the personalized activation link in the confirmation email.

The system will look for the custom tag [@OptInLink@] in the confirmation email template, and replace the tag with the personalized activation link.

Q.Anything that I should take note to manage my mailing lists?
A. There are numerous guidelines in the web illustrating the good practices of subscription management. You may refer to the guidelines of Mail Abuse Prevention System ('MAPS', which is the reverse of spam) to get some ideas about mailing list management.

Q.The delivery of newsletter suspended while sending. Why?
A.

Most probably the suspension is caused by:

(1) The system is sending another newsletter which has higher despatch priority. In this case, the delivery will resume automatically after that newsletter has been sent or aborted.

(2) The number of email sent today has exceeded the maximum quota imposed by your system administrator. In this case, the delivery will resume automatically tomorrow, or your system administrator increases your daily outgoing email quota.

You may check with your system administrator to confirm the cause of the delivery stoppage.

It also means that applications that run on the .NET Framework 2.0 today will continue to run on the .NET Framework 3.0."
